The Role:

Our client is seeking a Project Co-ordinator to oversee the efficient planning and execution of their garden maintenance portfolio and garden maintenance projects. Located at their office and nursery, nestled in a picturesque location near Winchester, the role involves managing schedules, coordinating gardening teams and ensuring smooth operations while maintaining high standards of service delivery. The Project Co-ordinator will work closely with the Senior Horticulturalist, Head Gardener, and logistics support teams to optimise workflow, resources and team performance. The ideal candidate will possess excellent customer service skills for managing client accounts. Although not essential, a willingness to learn about horticulture practices is beneficial.

Responsibilities:

  • Client Management: Oversee the administration and management of client accounts, serving as a key point of contact for clients, addressing enquires and ensuring expectations are met.
  • Team Coordination: Coordinate multiple garden maintenance teams, scheduling maintenance work and small projects, ensuring deliverance of a high-quality service within project goals.
  • Sales Representation: Represent the company in client meetings, promoting and selling maintenance contracts to enhance business opportunities.
  • Project Management: Organise and track garden maintenance activities to ensure timely completion.
  • Scheduling and Logistics: managing garden maintenance schedules, allocating resources, ordering materials, arranging deliveries and collections in and out of London
  • Health and Safety Compliance: Manage health and safety compliance across all sites, ensuring safety protocols are followed and maintained effectively.
  • Operational Efficiency: Assist in driving operational improvements across teams and projects, contributing to overall efficiency and effectiveness.
  • Cross-Functional Support: Work closely with the Senior Horticulturalist, Head Gardener, and logistics support team to align operations and improve service delivery.
  • Site Visits: Conduct occasional site visits to monitor operations, assess site conditions, and ensure quality of work meets company standards.

Qualifications & Knowledge:

Essential – Degree in business administration or related field OR Professional certification from recognised Colleges (e.g. Prince 2)

Desirable – Professional certification from recognised Colleges (e.g. Prince 2) OR robust experience in project coordination and administration

Experience

Essential:

  • Ability to develop project plans, create schedules and allocate resources effectively
  • Ability to coordinate cross-functional teams
  • Leading small teams or supporting Project Managers in decision making
  • Identifying risks and implementing solutions
  • Understanding financial aspects, including cost tracking and budgets
  • Attention to detail when managing documentation, ensuring compliance and alignment with project objectives

Desirable – Exposure and familiarity within a project management environment and how industry-specific projects are managed

Language Skills

Essential:

  • Ability to convey clear, verbal instructions, updates and expectations to gardening teams and clients
  • Professional written communication -drafting reports, schedules and emails with clarity and professionalism
  • Be an active listener, understating client and colleague needs and concerns

Aptitude & Abilities

Essential:

  • Robust organisational skills, problem solving skills and attention to detail
  • The ability to remain flexible and adapt to shifting priorities or unexpected demands in a dynamic environment
  • Ability to optimize workflows and improve operational efficiency

Desirable:

  • Efficient organisational skills and the ability to meet deadlines

40-hour week – Working hours are Monday to Friday 9am-5pm

 

SALARY:        UP TO £35,000 DOE
